Welcome to TripProspect! This guide will help you create your first beautiful itinerary in under 10 minutes.

Your First Itinerary

Step 1: Import Booking Confirmations

The fastest way to start is by importing existing bookings:

  1. Forward confirmation emails to your unique import address (found in Settings)
  2. Wait 30 seconds for our AI to process the details
  3. Review and edit any information that needs adjustment

Supported emails: Hotels, airlines, car rentals, tours, restaurants, and 500+ other suppliers.

Step 2: Organize Your Timeline

  1. Drag activities to reorder them chronologically
  2. Add custom blocks for free time, meals, or notes
  3. Include maps and photos to bring destinations to life
  4. Set up day-by-day sections for multi-day trips

Step 3: Brand and Share

  1. Apply your template (luxury, minimalist, or custom)
  2. Preview on mobile to ensure client experience is perfect
  3. Generate shareable link or send directly to client email
  4. Enable notifications so you know when clients view it

Setting Up Your Profile

Agency Branding

Make every itinerary unmistakably yours:

  • Upload your logo (recommended: 300x100px PNG)
  • Choose brand colors that match your website
  • Set default contact information for all itineraries
  • Create email signature for client communications

Email Import Setup

  1. Go to Settings → Email Import
  2. Copy your unique import email address
  3. Save it in your contacts for easy forwarding
  4. Test with a sample confirmation to verify it works

Template Selection

Choose your default style:

  • Luxury: Rich typography, elegant spacing (best for high-end FIT)
  • Modern: Clean design, mobile-first (adventure travel, younger clients)
  • Classic: Professional, traditional layout (corporate travel)

Client Organization Basics

Understanding the Boards

Your clients automatically organize into four visual boards:

Prospective Travelers

  • People who've inquired but haven't booked yet
  • Track follow-up status and proposal deadlines

Active Clients

  • Travelers with confirmed bookings
  • Monitor trip preparation and payment schedules

Current Trips

  • Clients traveling now or departing soon
  • Access real-time flight updates and support tools

Follow-ups

  • Recently returned travelers
  • Collect feedback and plan future trips

Adding Your First Client

  1. Click "Add Client" from any board
  2. Fill in basic information (name, email, trip interest)
  3. Upload a photo for easy recognition
  4. Set follow-up reminders for your sales process

Creating Your First Itinerary

  1. Forward confirmation emails to your import address
  2. Wait for processing notification (usually 30 seconds)
  3. Review imported details and make any corrections
  4. Arrange timeline and add custom touches

Option 2: Manual Creation

  1. Click "New Itinerary" from dashboard
  2. Choose your template and enter trip basics
  3. Add activity blocks using the timeline builder
  4. Include maps, photos, and documents

Essential Elements to Include

Troubleshooting

Email import not working?

  • Check that you forwarded the original email (not a screenshot)
  • Verify your import address is correct
  • Look in spam folder for processing notifications

Client can't access itinerary?

  • Confirm their email address is spelled correctly
  • Check that sharing permissions are set to "Anyone with link"
  • Have them check spam folder for access notification

Itinerary looks different on mobile?

  • Always preview mobile version before sharing
  • Ensure images are optimized for smaller screens
  • Test touch interactions and scrolling
